When Someone Leaves, Their Work Should Not Leave With Them
A teammate resigns and, a week later, a customer is still waiting on a ticket nobody can see. Here is how to hand over deals, tickets, chats and project work in one step, so nothing is dropped and nothing is deleted.
By The QuiQSol Team
People move on. Their work stays.
Someone on your team hands in their notice. Their last day comes, an admin removes their account, and everyone moves on. Two weeks later a customer emails to ask why nobody replied to their ticket, a deal that was one call from closing has gone quiet, and a project task due on Friday belongs to a person who no longer works there. Nothing broke. The work simply had nowhere to go.
TL;DR
- When someone leaves, the risk is not their account. It is the open work assigned to them that nobody else can see.
- Deleting the account is the wrong first step. It removes the person and strands everything they owned.
- The right move is a handover: list everything they still own, choose who takes it over, and move it in one step, with the new owner told what they received.
- QuiQSol does this for you when you suspend or remove a teammate, across CRM, Help Desk, chats, social messages, projects and forms, and records it in the Audit Log.
What actually happens to a person's work when they leave?
In most tools, nothing happens to it at all, and that is the problem. Deals still list them as the owner. Tickets still sit in their queue. Chats still wait for their reply. Because every list your team uses is filtered to "mine", the work drops out of sight for everyone else. It is not deleted, it is invisible, which is worse, because nobody knows to look for it.
Should you delete a leaver's account or suspend it?
Suspend it. Suspending signs the person out straight away, stops them signing back in and frees their paid seat, while keeping every note, call and change they ever made on record. Deleting the account is only right for a mistaken invite. When you do remove someone in QuiQSol, you are asked who takes over their open work first, or you must choose to leave it unassigned on purpose. It is never left pointing at an account that no longer exists.
What counts as open work in a handover?
Anything that still needs a person, and nothing that is finished:
- Open deals, leads and the contacts they own, so sales follow-ups continue.
- CRM tasks and draft or active contracts.
- Help Desk tickets that are not resolved, so no customer waits on someone who has gone.
- Open chats on your website, WhatsApp and email, and open social messages.
- Projects they own and their open project tasks and issues.
- Forms that assign new tasks to them, so tomorrow's responses land with someone real.
Won deals, closed tickets and finished tasks keep their history and stay credited to the person who did the work.
How do you hand over work without losing track of it?
Make it one decision instead of a hundred. In QuiQSol, choosing Suspend or Remove on a teammate shows exactly what they still own, category by category, with counts. You pick the teammate who takes it over, untick anything you would rather share out differently, and confirm. The work moves in one step, the new owner gets a notification listing what they received, and the move is written to the Audit Log with who did it and when. Meetings they host are flagged separately, because those live on their own calendar and need rebooking.
Can you hand over work before someone has fully left?
Yes. A suspended teammate has a Hand over work option of their own, so you can move work after a leave of absence begins, or split it between several people over a few days. Their account stays exactly as it is until you decide otherwise.
Handover sits in Settings, Users for every QuiQSol workspace. See how it fits with roles and per-person access, or start a free trial and try it with your own team.
Frequently asked questions
What happens to a deleted user’s deals and tickets?
In QuiQSol you choose before the account is removed: hand everything to a teammate, or leave it unassigned on purpose so you can share it out later. Work is never left pointing at an account that no longer exists.
Does suspending a user keep their history?
Yes. Suspending signs them out at once and frees their seat, while every note, call, message and change they made stays on record and credited to them.
Is the new owner told about the handover?
Yes. The teammate who takes over gets a notification listing what they received, and the handover is recorded in the Audit Log.
Can I hand over only some of a person’s work?
Yes. Untick any category, such as contacts or project tasks, and hand it to someone else in a second step.
