How to Switch CRM Without Losing Your Data: A 10-Step Checklist
Switching CRM is safe when you plan it. This 10-step checklist covers what to export, how to clean and map your data, how to move contacts, deals and history, and how to run both systems for a short overlap so nothing falls through the cracks.

Switch CRM without losing data
Most teams put off a CRM switch for months because they fear losing years of contacts, deals and notes. The fear is fair, but the risk is in the planning, not the move itself. With a clear checklist, a small business can switch in a week and keep every record.
TL;DR
- Decide what moves before you export anything: contacts, companies, deals, pipeline stages, notes and owners.
- Export everything, even what you plan to leave behind, and keep the files.
- Clean and map your fields first. Fixing data after import takes far longer.
- Test with 50 records, then move the rest.
- Run both systems for one or two weeks, then switch off the old one.
When is it time to switch CRM?
The usual signs are a CRM your team avoids, data kept in spreadsheets on the side, a bill that grows with every add-on, and customer conversations on WhatsApp or email that never reach the CRM. If your sales, support and billing live in different tools that do not talk to each other, a switch is often cheaper than another integration. Our guide to choosing a CRM for a small business in Nigeria covers what to look for.
What data should you move to a new CRM?
List it before you start:
- Contacts and companies, with names, emails, phone numbers and job titles.
- Deals, with their value, stage, owner and expected close date.
- Pipelines and stages, so open deals land in the right column.
- Notes and activity history for active customers.
- Custom fields your team actually uses.
- Owners, so every record keeps its account manager.
Leave out contacts who have bounced, unsubscribed long ago or never engaged. A switch is the best chance you will get to start clean.
The 10-step CRM migration checklist
- Name an owner. One person decides what moves and signs off each step.
- Freeze changes to the old setup. No new fields or pipelines during the move.
- Export everything. Download every object as CSV, plus any attachments you need, and store the files safely.
- Clean the data. Remove duplicates, fix email and phone formats, and fill in missing first and last names.
- Map your fields. Write down which old field goes to which new one, and create any custom fields in the new CRM first.
- Recreate pipelines and stages so imported deals have somewhere to land.
- Run a test import of about 50 records and check them by hand: names, owners, deal values, stages.
- Import the rest, contacts and companies first, then deals, then notes.
- Run both systems for one or two weeks. New activity goes in the new CRM; the old one stays read-only for lookups.
- Switch off the old CRM once the team has worked a full week without needing it, and keep the export files.
How do you avoid duplicate records when importing?
Use one unique key, usually the email address, and make sure the new CRM updates a record when that key already exists instead of creating a second one. Clean duplicates in the export before you import, and check the new CRM's duplicate list after each batch.
How long does a CRM migration take?
For a small business with a few thousand contacts, plan a week: one or two days to export, clean and map, a day to test and import, and the rest as overlap. Larger teams with many custom fields and integrations should plan two to four weeks.
What should you do after switching?
- Connect your channels so new conversations create records on their own: website forms, live chat, WhatsApp and email.
- Train the team on the five things they do every day, not every feature.
- Check your reports in week two against the old CRM's numbers.
- Cancel the old subscription only after your export files are safe.
How to move to QuiQSol CRM
QuiQ CRM gives you two ways in:
- From HubSpot or Pipedrive: click Move from another CRM, paste an access token from your old CRM and click Check what will move to see the counts first. Pipelines and stages, companies, contacts and deals come across, each linked as it was, and you can bring notes too.
- From a spreadsheet or any other CRM: download the Sample CSV, fill it in and click Import CSV. When a row's email already belongs to a contact, that contact is updated instead of duplicated, so you can safely import the same list again. Rows that cannot be imported are listed with the reason.
QuiQSol also lists Possible Duplicates for you to confirm, and Merge into keeps the history of both records. The full steps are in Set up QuiQ CRM. Comparing options first? See QuiQSol vs HubSpot, QuiQSol vs Salesforce and QuiQSol vs Zoho.
Frequently asked questions
How do I switch CRM without losing data?
Export every object from the old CRM as CSV and keep the files, clean and map your fields, recreate pipelines first, test an import of about 50 records, import the rest in order (contacts, companies, deals, notes) and run both systems for one or two weeks before switching off the old one.
How long does it take to migrate to a new CRM?
About a week for a small business with a few thousand contacts, including a short overlap. Larger teams with many custom fields and integrations should plan two to four weeks.
How do I avoid duplicates when importing contacts?
Use the email address as the unique key, remove duplicates in the export first, and use a CRM that updates an existing contact when the email matches. In QuiQ CRM, a matching email updates the contact instead of creating a new one.
Can I move my data from HubSpot or Pipedrive to QuiQSol?
Yes. Click Move from another CRM, paste an access token from HubSpot or Pipedrive and check the counts before you start. Pipelines, stages, companies, contacts and deals come across linked as they were, with notes if you choose.
Should I run two CRMs at the same time during a switch?
For one or two weeks, yes. Put all new activity in the new CRM and keep the old one read-only for lookups, then switch it off once the team has worked a full week without it.
